Signature Spaces – Facility Use Agreement

This Facility Use Agreement (“Agreement”) is entered into between Signature Spaces, operated by Florida Notary Association (“Provider”), and the individual or business entity (“Client”) utilizing the facilities and/or services.

By reserving space, using the facility or purchasing services, the Client agrees to the following terms and conditions.

1. Services Provided

Signature Spaces offers flexible workspace services including:

  • Private office rentals (hourly, half-day, full-day, or weekly)
  • Conference/meeting room rentals
  • Shared workspace access (as applicable)
  • Virtual business address services (no mail handling)

All services are subject to availability and may be modified at Provider’s discretion.

2. Reservations & Booking

  • All reservations must be made through the approved booking system or authorized method.
  • Reservations are confirmed only upon receipt of payment.
  • Clients must adhere to their reserved time and vacate promptly at the end of the booking.
  • Additional time used may be billed accordingly.
  • Provider reserves the right to assign or reassign space as needed.

3. Payment Terms

  • Payment is required in advance for all bookings and services unless otherwise agreed in writing.
  • Accepted payment methods include credit/debit cards or other approved methods.
  • Rates are subject to change with reasonable notice.
  • Failure to pay may result in denial of access or cancellation of future bookings.

4. Cancellation & Refund Policy

  • Cancellations made 24 hours or more prior to the reservation will receive a refund or credit.
  • Cancellations made less than 24 hours before the reservation may be charged the full booking amount.
  • No-shows are non-refundable.
  • Refunds, if approved, will be issued to the original payment method.

5. Facility Use

Clients agree to use the facility in a professional and lawful manner, as well as following posted WorkSpace Rules.

The following are prohibited:

  • Illegal activities
  • Disruptive or inappropriate behavior
  • Excessive noise
  • Unauthorized events or gatherings
  • Misrepresentation of tenancy or ownership of the premises

Clients are responsible for their guests and must ensure compliance with all posted rules.

6. Internet & Technology

Wi-Fi and related services are provided as an amenity.

  • Provider does not guarantee uninterrupted or secure internet access.
  • Clients are responsible for protecting their own devices, data, and communications.
  • Provider is not liable for outages, connectivity issues, or data loss.

7. Security & Liability

  • Clients are responsible for securing their personal belongings.
  • Provider is not responsible for lost, stolen, or damaged items.
  • Check-in and check-out are mandatory through the rear entrance/exit ONLY. Failure to check-in or check-out will result in a $15 additional fee per occurrence. 

Clients agree to indemnify and hold harmless Signature Spaces and Florida Notary Association from any claims, damages, or liabilities arising from use of the facility.

8. Damage to Property

Clients are responsible for any damage caused to:

  • Offices, conference rooms, or shared areas
  • Furniture, fixtures, or equipment

Costs for repair, replacement, or excessive cleaning will be charged to the Client.

9. Virtual Business Address (No Mail Handling)

Clients may use Signature Spaces as a business address for professional purposes only.

  • Mail and packages are not accepted, received, or stored at this location.
  • Clients are responsible for managing their own mail services externally.
  • The address may not be used for illegal or fraudulent purposes.

Violation of this section may result in immediate termination of services.

10. Termination of Agreement

Provider reserves the right to suspend or terminate access to services at any time if:

  • Terms of this Agreement are violated
  • Payment obligations are not met
  • Client engages in inappropriate or unlawful behavior

Provider may terminate services with or without notice if necessary to protect the facility or its users.

11. Changes to Terms

Provider reserves the right to update or modify these terms at any time.

Updated terms will become effective upon posting or notification. Continued use of the facility constitutes acceptance of the revised terms.

12. Governing Law

This Agreement shall be governed by the laws of the State of Florida.

ACCEPTANCE OF TERMS

By reserving space or using the services of Signature Spaces, the Client acknowledges that they have read, understood, and agrees to this Facility Use Agreement.
